Firstly, when receiving a complaint, accept it and register it, be sure to indicate the date of receipt, last name and position of the person who received it. Give the complainant a copy of the claim itself with a mark and acceptance. In principle, this will be enough to assume that you received a claim.

When preparing a response to a claim, prepare written evidence that will uphold your position. Also restore the chronological order of the events that are mentioned in the claim. As a result, your response to the complaint can be used in court as evidence of your position, so try to resolve the issue in a peaceful way and offer the client some compensation in the response to the complaint. If the issue is not resolved and will be submitted to court, then your position can positively affect the decision of the court. Typically, the deadlines for responding to a claim are set upon conclusion of the contract. You, as the recipient of the claim, are required to receive, consider and give a written response to it during this period.
